Administration Assistant

Swindon, Wiltshire

We are recruiting for our client, a large manufacturing company, an Administration Assistant based in Swindon.

Purpose of Role:

  • To provide support for the co-ordination of welfare items and provide administrative support to the HR function

Main Responsibilities & Duties:


  • Ensure that sufficient uniforms are held in stock, for new starters and current employees, through liaison and with current providers
  • Ensure that the stock count is up to date and reflective of the current stock held
  • Ensure that leavers return uniform and if not returned then the payroll department is notified
  • Manage the uniform distribution via a collection schedule


  • Keep a register of locker users and ensure all employees are issued with a locker upon commencement of employment and ensure any keys not returned upon leaving are notified to the payroll department
  • Work with the facilities team to ensure that all lockers are in a usable state
  • Carry out locker audits as required


  • Report any breakdowns or issues to the provider of any vending machines, coin loaders etc


  • Carrying out stationery orders and ensuring the stationery cupboard is stocked appropriately and kept in a tidy condition


  • Prepare refreshments for internal and external meetings, as requested
  • Ensure that stocks of refreshments are maintained
  • Ensure that the kitchen area is kept in a clean and tidy condition
  • Update meeting room schedules on a monthly basis


  • Ensuring that company noticeboards are tidy and updated, as required


  • Raising all purchase orders and ensuring that the cost spreadsheet is kept up to date
  • Support any note taking requirements in formal meetings
  • Carrying out general admin duties as required

Essential Qualifications:

  • GCSE Mathematics & English or equivalent
  • Full, clean UK driving licence


  • Previous experience within an administration function
  • A high degree of competency with most software packages including Microsoft Word, Excel and PowerPoint
  • Excellent interpersonal & communication skills, at all levels
  • Proven organisation skills
  • Hands on attitude
  • Ability to work under pressure and deadlines
  • Self-starter who can manage their workload without constant supervision & guidance
  • Eye for detail and accuracy
  • Previous experience in an HR department/looking for progression within an HR function (DESIRABLE)
